What is RecDesk?

RecDesk is a 100% web based solution for Parks & Rec Departments, Schools, Churches, Civic and Non-Profit Organizations that helps them manage programs, facilities, cash reconciliation, credit card processing and registrations (on-line, in-person, mail-in). It connects organizations to their communities by offering on-line payment and registration. It is easy to set up, easy to use and very cost effective. The RecDesk solution consist of two applications: RecDesk Director which is used by Parks & Rec personnel to manage their Programs and RecDesk Community which is the publicly available site that members of the community see.

What equipment do I need?

A computer with an internet connection and standard browser (IE 5.0+, Netscape 6.2+, Firefox 1.0+). That's it.

How much does it cost?

RecDesk is a subscription based service. Organizations pay a single annual subscription fee based on the population of the community they serve. There are no start-up costs and no ongoing maintenance fees.

We're a regional organization that serves more than one group of people. How does this affect pricing?

In staying true to the We Make Connecting Easy   theme, the only math associated with using RecDesk is addition ;-) Simply add up the total number of people in the regional communities your organization services, and then use that figure to determine pricing.

Who owns the data?

Your organization owns the data. We just act as the caretaker for it. RecDesk does not share or sell any personally identifiable information about your organization or its members. See our privacy statement for further details.

What sort of training is required to use RecDesk?

There is no special training required to use RecDesk. It is designed to be easy to use and intuitive. Should questions arise that cannot be answered by on-line documentation and help, simply contact Customer Support with your question.

Is on-line registration offered 24/7?

Yes.

How soon are updates that are made in RecDesk Director available on the RecDesk Community web site?

Immediately. They share the same database.


Credit Card Payments

What sort of fees are associated with credit card processing?

There is a nominal fee associated with Credit Card payment processing. It is 2.9% of the overall transaction amount plus $ 0.30. For example, processing a registration that cost $50 would breakdown as follows:

  Registration Amount: $50.00
  Credit Card Processing Fee: $1.75

RecDesk makes no money off credit card transaction fees. These are simply pass through fees that our payment provider charges us on a per transaction basis. We make our money by offering you the most customer focused, cost effective solution for managing your organization.

You can opt to absorb these costs or pass them on to your members. Laws regarding assessment of a processing fee based on method of payment vary from state to state.  With online/internet registrations it is generally OK to pass on this fee whereas with walk-in or mail-in registrations it is not. Consult with your town's attorney to see what laws apply to your locality.

Do I need a merchant account?

No. RecDesk has partnered with PayPal© to receive and process all credit card payments. We act as the custodian for this account. This money is then forwarded to you via our settlement process.

If you already have a merchant account and would like to use it for in-person and mail in registrations you may do so. These payments can then be recorded in RecDesk at the time of registration for record keeping purposes. Online registrations will use RecDesk's merchant provider partner (PayPal) to process all internet registrations.

How are refunds processed?

RecDesk does not process credit card transaction refunds. Refund activity can be recorded for record keeping purposes within RecDesk but the actual refund of dollars is the responsibility of the organization. Credit Card processing fees are non-refundable.

How are chargebacks handled?

A chargeback occurs when a buyer asks their credit card company to remove a charge from their credit card statement. This results in a credit to the Member/Customer's credit card and a debit to the RecDesk account. The subscribing Organization (i.e. Recreation Department) is liable for this amount. The amount subject to chargeback would be withheld from the next Settlement Process (see Settlement Process below).

How does our organization receive the money from credit card transactions?

Every week we go through what we call our Settlement Process. This is when all money that is due to your organization is transferred from the RecDesk custodian account to you via electronic check. Settlement history and unsettled transactions are viewable within the RecDesk Director application.


Security

How secure is RecDesk?

RecDesk is very secure. Access to the RecDesk Director application is done exclusively over of a secure channel (SSL). We do not store credit card information or social security numbers of members. All of our credit card processing is handled by our partner, PayPal©, on their own secure servers.

How is credit card information protected?

RecDesk does not hold credit card information in it's database and leaves no footprint of this sensitive data. We only store the end result of such transactions including amount and authorization/confirmation number. All credit card payments are transacted on PayPal's© secure servers over an SSL connection.

What if there is feature that I don't see in RecDesk that I need for my Organization?

At RecDesk, we're a customer focused company. That means you drive future product development and enhancements. We're always open to suggestions and if a requested feature fits well with the product, we'll make every effort to implement it.
